Senior Receptionist (Ref:1784) £34,000 - £38,000 London Our client is a leading set specialising in Commercial Litigation, Insurance, Reinsurance, Professional Negligence, IT and Telecoms, Tax, Personal Injury and Clinical Negligence. They currently seek a Senior Receptionist. Working in close collaboration with the Clerking Team, and as part of the Business Services Team, the focus of this role is to represent Chambers as the first point of contact for all visitors, clients and callers. The role demands a professional and proactive approach, combining excellence in client-facing customer service and providing support to barristers and colleagues. Position: Senior Receptionist Reporting to: Operations Manager / Director of Operations Hours: Monday to Friday 40 hours per week (08:30 – 17:30 or 09:30 – 18:30) Job Summary Duties * Supervise, train and mentor the junior receptionist. * Answer calls politely and efficiently, transfer callers to the appropriate barrister/clerk, take accurate and detailed messages. * Meet and greet clients and visitors and offer refreshments as appropriate. * Manage and maintain the conference room diary, including all supplementary requirements. * Arrange remote conferences across various virtual platforms. * Place orders for catering, as required. Prepare and serve tea, coffee, and lunches in the conference rooms as required. * Monitor and report building maintenance issues to Middle Temple or the Facilities Coordinator. * Ensure that facilities checks for Devereux Court and 9 Devereux Court are carried out twice daily, reporting issues to the Facilities Co-ordinator as appropriate. * Check conference room AV systems are functioning daily. * Ensure that the reception, kitchen, conference rooms, library, public and stationery areas are kept clean and tidy at all times. * Conference rooms are checked after each meeting, supplies are replenished, and conference rooms are reset and MS Teams chat data is deleted (when appropriate). * Pupillage Gateway recruitment administration. * Accept deliveries to Devereux Chambers or redirect to Queen Elizabeth Building. * Arrange restaurant bookings, travel and hotel reservations as required. * Deal with all copier maintenance issues and report to Canon. * Act as a Fire Marshall for the building – training will be provided. * Arrange couriers and ensure barristers are aware of costs to be recharged. * Assist with marketing functions before, during or after normal working hours as required. * Ensure that annual special events run smoothly – Silk Day (i.e. pupillage interviews, appointment of new KCs) * Assist the Operations Manager with administrative tasks as required * Any other duties as may be required. Personal qualities and knowledge * Previous reception experience in a senior role within a professional services environment. * Previous customer service experience, along with the ability to deliver excellent levels of client service. * Professional and friendly telephone manner, with the ability to build effective working relationships with internal and external clients. * First-rate communication skills (at all levels, orally and in writing). * Excellent knowledge of virtual meeting platforms and AV technologies in place. * Good working knowledge of Microsoft Office. * Excellent organisational, planning and problem-solving skills * The ability to remain calm under pressure. * The ability to work to a number of deadlines simultaneously, and manage your workload accordingly.
